Studio Policies

You are solely responsible for reading and following our studio policies and guidelines so everyone can have an enjoyable practice and experience, while we maintain and sustain our community studio. By attending class, you are agreeing to all our guidelines and policies.

IMPORTANT: This is a Bully, Harassment, and Gossip-Free Space. Zero Tolerance. Respect yourself, others and the community. This is a Sacred space we share. Thank you!

 
  • A liability waiver must be completed before attending a class at Empower Hot Yoga. Once you have an account, you can start registering for classes. We only leave a handful of spots open per class for new students and walk-ins. Registering for classes in advance is highly recommended to guarantee your place in class. If you do not register for class in advance, you are not guaranteed a place in class. We are strict with our maximum class limit on our classes at Empower Hot Yoga so that every student can benefit and have a great experience in class. 

    Demand for our classes is high; no-shows and late cancellations limit other members from participating in classes and are disruptive to our member community. 

    If you need help at all with learning the ropes on how to register and cancel reservations, we are happy to assist you; just reach out, and we can set a day and time to meet in-studio to go over it together. We are here for you and want this to be as seamless as possible for you.

  • If a class is full, you may add yourself to the waitlist. If a cancellation is made, the first name on the waitlist will automatically be added to the class. If you are signed up for notifications, you will receive an email or text as soon as you are moved off the waitlist and into the class. Once you are added to the class from the waitlist, you become RESPONSIBLE for attending or canceling your spot in the class. Please notify us if you did not get enough notice to attend the class and need to cancel. Waitlist clients will not be charged a late cancel fee if they are not able to attend class. However, if you do not cancel or notify us via email to cancel your spot, you will be charged a NO SHOW fee of $20 for Unlimited Members and $10 plus class credit for Limited Members or Drop-ins. You are responsible for managing your waitlist reservations. If you are on the waitlist, but you reach a point when you’d be unable to come to class even if you were moved into the class, you must cancel your waitlist reservations. 

  • NO SHOES

    When you arrive, remove your shoes and leave them in the cubbyholes in the lobby or the changing rooms. No shoes allowed inside the yoga room.

    NO CELLPHONES

    Disconnect! Turn your phones off and leave them outside of the yoga rooms. Important calls can be made outside. Please notify the front desk if you are on-call; pager or phone must be completely on silent and do not disturb mode.

    BE SCENT FREE

    To respect a shared environment, avoid heavy body odor and aim to go scent free. 

    NO LATECOMERS

    Arrive on time. 5-10 minutes before class to give you enough time to settle in. Doors are locked once class starts. If you arrive after doors have been locked, you will be considered a no-show.

    SILENCE

    Observe silence in the yoga rooms. Please NO talking inside the yoga room. Feel free to chat quietly in the lobby before or after class. If you are talking in class, we will politely give you a warning. If you continue to not listen, you will be asked to leave the class. 

    QUICK SHOWERS

    Out of respect for the earth and your fellow yogis, please be mindful of the time you spend rinsing off. Keep showers short & sweet!

    RESPECT TEACHERS AND STAFF

    Move with the instructions. Modifications and advanced movements to the postures are OK. If you wish to do your own moves and own practice, you can rent the studio space for yourself. Please keep to the practice that is being led by our trained teachers. If you wish to add some extra spice to the moves, set your mat in the back of the room to avoid distraction and confusion for new students.

    KEEP DOOR CLOSED

    Keep the door closed when entering and exiting to keep the heat in. Try not to leave mid-class unless you need to. 

    LOST AND FOUND

    To protect our students and reduce the chances of anyone becoming a victim of theft, we encourage you to leave your valuable possessions at home or locked away in your car. Empower Hot Yoga is not responsible for the loss or theft of any personal items. If you believe you’ve left an item at the studio, please check the studio’s Lost & Found bin or send an email to owner@empowerhy.com, and we can check for you. All items in the Lost & Found bin are donated on the 1st of every other month.

  • These policies are in place to ensure our teachers are getting paid and all of our members have a positive experience. We ask that you refrain from asking for special exceptions unless something urgent were to occur. These fees apply to everyone, including Empower members, Energy Exchange, and Employees. Due to limited capacity, this policy is strictly enforced.

    Class Cancellation

    Pre-registration is highly recommended for all classes due to limited class sizes. Empower requires a 4-hour notice to cancel in-studio class reservations; in the event of a late cancellation or no-show, a fee will be charged to the credit card on file. Class cancellations can be submitted online through your account on our App or website, or by emailing the studio directly at owner@empowerhy.com (emails must be sent 4 hours before class to be approved for early cancellation and avoid being charged). In your email, please provide the first and last name of the reservation along with the date and time of the class you are canceling.  

    Please note that we do not accept phone/voicemail cancellations.

    Early Class Cancellation

    Early cancellations must be submitted 4 hours before class time to avoid the late cancel penalty. Pay-As-You-Go Clients will have the class they paid for credited back to their Empower account so they can register for another class. We do not offer refunds for classes paid for that you’re not able to attend. We only offer class credit.  

    Please note that we do not accept phone/voicemail cancellations.

    Late Class Cancellation

    Late cancellation is a class canceled within 4 hours of class start time. We understand sometimes an unexpected absence can occur, but every late cancellation is subject to a penalty. 

    • Unlimited Members: Bookings made with an unlimited plan must cancel at least 4 hours before class start time or pay a penalty fee of $10

    • Limited Members / Drop-in: Bookings made with a limited plan or drop-in must cancel class at least 4 hours before class start time, or they will lose the class session, fee, or credits used to pay for that class.

    Please note that we do not accept phone/voicemail cancellations.

    Absent No-Show / No-Cancel

    An absent no-show / no-cancel is different from late canceling. It means you personally registered for a class that you no longer could attend and did not cancel your reservation or notify the studio, and didn’t attend class. We ask that you ALWAYS cancel your class reservations if you are not able to attend, even if it’s a late cancel. Please be mindful of the classes you registered for and hold yourself accountable to attend or to cancel if you can’t attend. Every No-Show is subject to a penalty. 

    • Unlimited members: Bookings made with an unlimited plan who no-show for a class will pay a penalty of $20.00

    • Limited / Drop-in Policy: Bookings made with a limited plan or drop-in who no-show for a class will pay a penalty of $10.00, and they will also lose the class session, fee, or credits used to pay for the class.

    Please note that we do not accept phone/voicemail cancellations.

    ** All Cancellations and no-shows will receive an automated email of your penalty and fee that will be charged. This email gives you 24 hours to respond before the late cancel or no-show fee is charged to your card on file. Please reach out if you have a reason to dispute this fee. If you do not respond within the 24-hour window, NO REFUNDS will be made once the fee has been charged. 

    Workshop & Event Cancellation

    • If a registrant cancels more than 24 hours before the workshop/event, they can receive a credit on their Empower account. 

    • If a registrant cancels less than 24 hours before the workshop/event or does a no-show, they do not receive a credit or a refund.

    Late to Class Policy

    The front door will be locked right at the start of class time. Please arrive a few minutes before class to get settled in. If you arrive after the door is locked, it will be considered a no-show.

  • The membership agreement between Member and Empower Hot Yoga, LLC is on a monthly recurring basis. The member agrees to allow Empower Hot Yoga, LLC to charge their credit or debit card on file. Memberships may not be shared.

    TERMINATION FOR CAUSE

    Empower Hot Yoga may terminate your membership if: 1) you fail to make timely payments; 2) the monthly payment or dues are interrupted or discontinued for any reason, and you do not provide an acceptable alternative; 3) you fail to follow any of Empower Hot Yoga’s membership policies or rules or violate any part of this agreement; 4) your conduct is improper or harmful to the best interests of Empower Hot Yoga or its customers.

    RIGHT TO MODIFY DUES AND FEES

    Empower Hot Yoga reserves the right to modify your dues at any time upon 30 days written notice. If you have a prepaid membership, Empower Hot Yoga may not modify the amount of your prepaid dues before the expiration of the current term.

  • Our memberships vary from month-to-month, 6-month or 12-month commitments, so please email owner@empowerhy.com to contact the owner directly about your membership or review your signed contract agreement.

    We do not accept verbal Freeze requests. 

    To freeze your autopay, a completed request must be submitted by email to owner@empowerhy.com at least 14 days in advance of your next billing date in order for your request to be effective from the following month. The billing date is based on your activation date. Clients may freeze their auto pay schedule once per contract term for up to 3 months. Any additional freezes during the contract term shall incur a fee of $25 per month. Any freeze period will be added to the end of the agreement, extending the membership commitment accordingly if part of a 6 or 12-month contract. All contractual obligations remain in effect upon reactivation.

    Freeze requests for more than 3 consecutive months will incur a fee of $25 per month after the third month. When the freeze duration is over, the membership will automatically reactivate.

    Membership freezes pause billing and membership access for the duration of the freeze.

    We do not offer refunds if we are not notified in advance. Submitting a freeze request is not an automatic freeze. Once we receive your request, we will notify you via email and confirm your membership has been frozen. If you would like to keep your locked-in special, we recommend freezing your membership. 

    If you notify someone at the front desk that you would like to freeze your membership, they will direct you to email the studio. Please note your membership is not frozen until you get a confirmation email back.

    We do not accept verbal cancellations. 

    Client may cancel anytime, provided they give 14 days written notice before the next billing cycle to avoid auto-renewal. This will ensure we have ample time to complete the request before your next auto-pay deduction. Cancellation requests must be submitted by email to owner@empowerhy.com or by completing the online cancellation form available on the Empower Hot Yoga website. (Example: if you are scheduled to be charged February 14th and you want to cancel for February, you must submit a written request to your local studio by January 31st.)

    Refunds will not be given for auto-payments received, unless due to a clerical error. Empower Hot Yoga will cancel all following auto payments after being given notification, though no refund for previous or current months will be reimbursed. We do not accept verbal cancellation requests; all requests must be submitted via email or form.

    Submitting a cancellation request is not an automatic cancellation. Once we receive your request, we will notify you via email and confirm your membership has been canceled. 

    If you are locked into a contract, you can pay the early cancellation fee. 

    If you notify someone at the front desk that you would like to cancel, they will direct you to email the studio.  Please note your membership is not canceled until you get a cancellation confirmation email back. 

    Empower Hot Yoga reserves the right to modify, cancel, or terminate any contracts without notification. You will not be responsible for any further membership fees upon cancellation by us but will remain responsible for any unpaid fees before our notice of cancellation (including late, no-show, and overdue membership fees, which will be sent to the email on file when you registered for membership.

  • All classes, class packs, memberships, and gift certificates are non-refundable, and sales are final. 

    All merchandise is non-refundable but may be exchanged for another item or store credit within 3 days of original purchase. Tags must be on the product, and the product must be unused or unworn. No signs of damage. No scent of smoke. 

    All approved refunds will not be given to the original payment method but will be refunded to your Empower Hot Yoga account and may be used towards future Empower Hot Yoga purchases. Classes are non-transferable.

    If you purchase or receive as a gift an item of clothing that doesn’t fit, you may exchange it for another size or a store credit within 3 days of purchase. 

    Defective items may be exchanged or returned for a full refund within 7 days of purchase. 

    Classes, programs, workshops, and series canceled by Empower Hot Yoga will receive a full refund unless otherwise noted in your enrollment agreement.
